Download publications as a PDF

You can download a project with freeform pages as a static PDF from the Download PDF tab in Share project. The PDF is a static snapshot of each page, so video, animations, interactive elements and forms do not carry over.

PDF export is not available for projects that contain Block pages. If a project has at least one Block page, the Download PDF tab shows a warning instead of the Convert to PDF button.

Requirements for PDF export

To convert a project to PDF, all of the following must be true:

  • PDF export is enabled for your account. If it is not, the Download PDF tab does not appear in Share project. Contact Maglr support to enable it.
  • The project contains only freeform pages. If the project contains at least one Block page, PDF export is not available for that project.
  • You have the right to publish projects live. Without it, the Convert to PDF button is greyed out and shows the tooltip "You do not have permission to publish projects live." Ask an account admin for publish rights.

The project does not need to be active or live to download a PDF.

What the PDF includes and leaves out

A PDF export contains a static snapshot of every active page in your project, in the project's page order, merged into one file named after the project. Only content that is immediately visible on a page is included. The PDF handles pages and scenes as follows:

  • Pages set to inactive are left out of the PDF.
  • Elements that animate into the page are left out.
  • Hidden layers and pop-ups are left out.
  • Video, animations, interactive elements and forms do not carry over.
  • If a page contains at least one Longpage scene, the whole page becomes one long PDF page with all its scenes stacked below each other.
  • If a page has only Fullscreen scenes, each scene becomes its own A4 landscape PDF page.

Downloading a project as a PDF

To download a project as a PDF:

  1. Publish your project so the PDF includes your latest changes. See Publish your project live.
  2. Open the project and click Share project in the left sidebar. You can also open the menu on the project card in the projects overview and choose Share.
  3. Open the Download PDF tab.
  4. Click Convert to PDF. A progress bar shows while each page is converted and the PDF is compressed.
  5. When the conversion finishes, click Download PDF. The PDF opens in a new browser tab.

If the Download PDF tab shows the Download PDF button without a Convert to PDF button, a PDF of the current version of the project already exists. Click Download PDF to get it.

Frequently asked questions

Why don't I see the Download PDF tab?

The Download PDF tab in Share project only appears when PDF export is enabled for your account. Contact Maglr support to enable it.

Why is the Convert to PDF button missing?

The Convert to PDF button is missing from the Download PDF tab in two cases:

  • The project contains at least one Block page. PDF export is not available for projects with Block pages, and the tab shows a warning instead of the button.
  • A PDF of the current version of the project already exists. The tab then shows only the Download PDF button, which you can click to get that PDF.

Why is the Convert to PDF button greyed out?

The Convert to PDF button is greyed out when you do not have the right to publish projects live. Hovering over it shows "You do not have permission to publish projects live." Ask an account admin for publish rights.

Why is a page missing from my PDF?

A PDF export only includes pages that are set to active. If a page is missing from your PDF, set that page to active and convert the project again.

Does my project need to be live to download a PDF?

No. You can convert and download a PDF of a project that is not active or live. Publish the project first so the PDF includes your latest changes.

What does "The spread version is too old to publish" mean?

When converting a project to PDF, you may see the error "The spread version is too old to publish. Open the spread in the editor and save it." This means at least one page in the project was last saved in an older version of the editor. The error does not say which page. Open each active page of the project in the editor and save it. Then close and reopen Share project, open the Download PDF tab, and click Convert to PDF again.
